Using the Contacts CRM Filter

Having the ability to search your contacts for a specific record is vital to any CRM system. That's why we've not only created a reliable filter, but also provide the functionality to search every field within your Contacts CRM.

Because of the number of fields which are able to be filtered combined with the filter's versatility this article will focus on familiarizing you with the basics of the advanced filter built into Contacts CRM and how to filter Contacts verses Companies.

Overview

We've structured Contacts CRM so that you have two types of record lists. One list is for managing each of your Contacts and the other is for managing each of the Companies that your contacts may be associated with.

By structuring the lists within Contacts CRM in this manor, we ensure that if a contact's company information changes, the user will only have to make a simple update to the company's record. This structure also accommodates for real life situations where a contact could be associated with multiple companies.

Fully understanding this structuring will assist users in understand the functionality of our filter as each list is accessible by viewing either the Contacts tab or Companies tab within the main Contacts CRM page.

To help users understand the difference between the Contacts tab verses the Companies tab we suggest referencing the following definitions.

  • Contacts Tab - Contains individual people that are considered either a Lead or Contact
  • Companies Tab - Contains businesses that employs individuals.

Note - To begin using Contacts CRM, you must have a paid plan.

Filtering Contacts vs. Filtering Companies

Because the Contacts tab records that have different fields than the fields stored within the Companies tab, its important that the user first view the correct tab prior to clicking the Filter button. This can be accomplished by simply clicking the corresponding tab that the user wishes to apply a filter to.

For example, if a user wishes to filter records for a specific contact, you must be viewing the Contacts tab and then click the Filter button. On the other hand if you wish to filter records for a specific company, you must first be viewing the Companies tab and then click the Filter button.

When a filter is applied to the corresponding records the Filter button will turn blue.

Filter Elements and Their Actions

After the user has clicked the filter button a slider will expand from the right side of their page. The Filter is comprised of two tabs.

Filter Builder Tab

While viewing the Filter Builder tab, the user can provide the filter with the perimeters that will be applied to the results. To build the parameters, simply start by selecting the category of information that you wish to include. Each category corresponds with information as it displays in the tabs within a record.

For example to filter the Contacts records by parks that may have been linked to them, simply select Linked Park Sites category and proceed to complete the fields that appear as you complete each value.

To refine a search, additional perimeters can be added to each search by including additional AND/OR conditions in the same manor.

Saved Filter Tab

Whenever a user wishes to save a filter's perimeters for future use, the user can simply click the Save button located on the Filter Builder tab. After providing a name for the filter and clicking Save, it will then appear within a list displayed in the Saved Filters tab. To executes the saved filter, simply click Run from within the saved filter's Actions menu.

Apply Filter Button

Clicking the Apply Filter button will apply the perimeters that you have specified to your corresponding records. These results will be displayed within the corresponding tab on the main page of Contacts CRM. Additionally, the Filter button will be displayed in blue while the filtered results continue to display. To access the filter again simply click the blue Filter button.

Clear Filter Button

When a user wishes to clear the filtered results from within Contacts CRM, simply click the Clear Filter button from within the filter's Filter Builder tab. Once you click the Clear Filter button, the Filter's slider will close and all the corresponding records will begin displaying again.

Important - To filter the correct perimeters of either the Contacts tab or Companies tab, you must view that tab prior to clicking the Filter button.
